Interview Confirmation

After applying for a new position, you may receive an opportunity to interview. The next step is to accept and confirm with an email response. When an employer responds to your job application with an interview request, it is good practice to get back to them quickly and with enthusiasm.

What is an interview confirmation email?

An interview confirmation email is an email you can send to accept an opportunity to interview.

  • allows you to convey your availability and interest in the opportunity
  • gives you a chance to ask any questions regarding the interview

What to include when confirming an interview?

Provide the following information in your email:

  • Subject line.

    • In the subject line, specify that you are writing to confirm your interview.

    • You can include the words interview confirmation to show the hiring manager know what your message contains.

    • Example:

      Subject: Interview Confirmation {Job Title} - {Your Name}

  • Purpose

    • Start the email stating your reasons for writing the email.
    • You can begin by expressing gratitude for having received the opportunity.
  • Additional questions

  • Contact information.

    • Remember to include your contact information like phone number, email or other details.
    • They may already have these details, but it is good to include them for ease of communication.

How to confirm an interview in an email

1. Answer promptly

After receiving an interview opportunity, try to respond quickly (Ideally on the same day as you get the interview mail).

  • This shows hiring managers you value their time and take the opportunity seriously.
  • It may also help you schedule an interview soon, which could give you a competitive advantage.

‼️ One exception: When you receive notice of an interview, hiring managers might mention that they plan to send a confirmation email to you.

  • If that’s the case, wait for the email to arrive.
  • If you don’t receive a confirmation message within a day or two, follow up with the hiring manager to confirm.

2. Draft your message

  • Start your email by thanking the hiring manager for their consideration.

  • Try to be precise and direct in your email by including only those details which are necessary.

    • If you are interested in the position, mention your availability along with your phone number.
    • If you are not interested, respond politely with a short explanatory message.
  • Try to keep your tone professional and positive.

  • Ask What You Should Bring

    • You should always bring several copies of your resume to your interview.
    • Some companies might want other documents—social security card, portfolio of work, etc.—on hand during the interview.

3. Close and review your email

  • Close the email by thanking your recipient again or by adding an email close, such as sincerely.
  • Sign your name
  • Add your contact information to make it easier for the hiring manager to contact you if necessary
  • Before sending, proofread your message carefully

Example: Accept the date and location of the interview

Dear Ms Lena,

Thank you for your consideration and invitation to interview for the role of product manager at Lemon Corp. I am available this Thursday at 3:30 PM, and I look forward to meeting with you to discuss this opportunity in more detail.

Please let me know if I can provide any additional information before our meeting on Thursday afternoon at your office.

Example: Employer requests to call their office to schedule an interview

Another type of email you might receive from an employer is a request to call their office to schedule an interview. Even though the employer wants you to contact them by phone, you can always consider sending a brief confirmation email to show you accept the opportunity to interview.

Thank you for considering me for the lead designer role at ZoI Studios. As per your request, I will call you tomorrow afternoon to schedule an interview.

I look forward to speaking with you. Please let me know if I can provide any additional information.

How to acknowledge an interview invitation?

After scheduling an interview, you may receive an interview invitation or calendar invite. You can respond to these quickly to confirm you received the invite.

Examples:

  • I just received your interview invitation. Thank you very much for this opportunity. I look forward to meeting you on July 20, 2021, at 2:00 PM.
  • Thank you for your invitation to interview with your representative at Red Bird Apparels. Yes, I am available on June 20, 2021, at 2:00 PM for attending the interview.
  • Thank you for your email. Yes, I would like to interview with you at 3:00 PM on Wednesday, July 7, 2021.
  • I am honoured to have received your interview invitation. Yes, I can be available for an interview at any date after the 2nd week of August 2021.

Tips for preparing for the interview

  • Learn more about the company

    • Try to learn more about the company by reading about it.
    • Be knowledgeable about what the company does, what it stands for and any other relevant information.
  • Learn more about your interviewers

    If you know who is interviewing you, try to learn a little more about them. This is a good way for you to find common ground with your interviewers and feel prepared.

  • Practise answering questions

    • Look up commonly asked questions and try responding to them.
    • You do not need to memorise answers, but preparing yourself for what may come can help you fare better.
  • Dress appropriately

    • Make sure you select an outfit that fits the role.
    • Ensure that it is clean and pressed.
  • Keep all your documents ready

    • Take copies of your important documents if needed.
    • Ask before whether they need you to bring any particular documents.
  • Check your setup

    • In case your interview is virtual, examine ahead of time to make sure that all your gadgets and resources are in working order.
    • Familiarise yourself with the platform and application used for the interview process.
